Accountant for contractors

Accountant for Contractors and the Trades

We work with general contractors, plumbers, electricians, HVAC, painters, roofers and handymen across the five boroughs and Long Island. Most of the money contractors lose to taxes comes from three places: subs paid without paperwork, sales tax collected the wrong way, and books that cannot tell you which jobs made money.

1099-NEC for your subs: the threshold changed

For payments made in 2026, you file Form 1099-NEC for a non-corporate subcontractor you paid $2,000 or more during the year, up from $600. The forms for 2026 are due in early 2027. Get a W-9 before the first payment, not in January when the sub has stopped answering. A missing W-9 can mean penalties and a requirement to withhold on the payments. If a sub works like an employee, set hours, your tools, only your jobs, the IRS and New York may treat them as one, and that brings payroll tax, workers' comp and unemployment insurance with it.

Sales tax depends on the type of job

New York treats contractor work in two buckets. A capital improvement, such as an addition, a new deck or new kitchen cabinets, is generally not taxable to the customer, and you document it with Form ST-124. Repair, maintenance and installation work, such as fixing a broken step or repainting existing cabinets, is generally taxable at the local rate, 8.875% in New York City. You usually pay sales tax on the materials you buy for capital improvement work. Mixing these up is an easy way to owe tax you never collected, so we set up your invoicing to keep them apart.

Common questions

Do I need to send a 1099 to my subcontractor for 2026?

Yes if you paid a non-corporate sub $2,000 or more during 2026 for work in your business. The threshold was $600 for payments made through 2025. Collect a W-9 before you pay.

Do contractors charge sales tax in NYC?

It depends on the job. Capital improvements are generally not taxable when the customer gives you Form ST-124, while repair, maintenance and installation work is generally taxable at 8.875% in New York City.

Should my contracting business be an S corporation?

It can make sense once your profit is well above a reasonable salary for your work, because the salary carries payroll tax and the rest of the profit does not carry self-employment tax. Payroll, a business return and NYC corporate tax add cost, so we compare both ways first.

What does it cost?

Bookkeeping starts at $300 a month, payroll is $275 a month including one employee plus $15 for each additional, and business returns start at $1,000.
